Workday’s Org Studio presents an easy-to-use interface for stakeholders across the company to create, manage, and execute reorganizations. With its simplicity – yet vast and growing amount of features and tools – I’ll share some reasons for why you should consider implementing Org Studio before your next reorg.
1. Easy Setup and Maintenance
Although Org Studio requires some initial setup in the tenant, it is fairly straightforward. Maintaining the tool thereafter is also a breeze. With the introduction of Org Studio also came domains that require some setup: Maintain: Org Designs, Participate: Org Designs, and Mass Action Events. Additionally, there are two business processes that need to be configured: Reorganization with Org Studio and Mass Action Event.
You can get as granular as needed or stay high-level when adding security groups to the domains, and be intentional with the workflow of the business processes. On the business process Reorganization with Org Studio, you can configure the shared participation step and have as many approvals as needed. Once the domains and business processes are enabled, you can begin creating designs right away. Future updates, such as adding security groups or adjusting approvals, are easy to make with the three domains and business processes already in place.
2. Collaboration with Stakeholders
Org Studio offers multiple collaborative features for sharing and working on designs with other users. Once you create a design, you can share that design with stakeholders to contribute changes, updates, or even just comments – all which you can see real time. Shared participation of designs is configurable and provides you the option to share with security groups or specific users.
Because Org Studio has an easy drag-and-drop interface, it is a great tool for Managers, HR Business Partners, or other stakeholders who may not normally process backend Workday transactions. The tool allows for you to set up security for HR Partners, Managers, or other groups to be able to participate in shared designs for the organizations in which they support, carrying over their security into Org Studio. Additionally, you can manage and work off of multiple designs at once, allowing for the comparison of the design and impact of different reorganizations models. These features make it incredibly easy to bring various stakeholders directly into the design work of reorganizations.
3. Reporting and Real-Time Updates
Another great feature that continues to grow for Org Studio is the reporting functionality and real-time updates. With many changes taking place, it can be hard to keep track of what has changed. Any time an update is made in the design, a log is kept of what was updated, who did it, and at what time. This is especially helpful when you have multiple stakeholders working on one design. Additionally, all changes to an organization are signaled using blue dots and other identifiers in the design, making it easier for you and collaborators to visually note which organizations will be impacted during the reorganization.
Additionally, there is a wide range of custom reports that can be created with new data sources pertaining to Org Design that can be tailored to your business needs, then added into an Org Studio report repertoire. Once added, these reports can be run during the design stage straight from the design UI. This is a great tool to use especially when trying to evaluate changes and run analysis during the decision-making stage of the reorganization.

Domains may need to be enabled first, after which you will apply security groups to View and/or Modify access. We recommend using HR Administrator to start, then adding other groups as needed.

Business Processes may need to be created (Create Business Process Definition) before applying routing, approvals, or other tasks. Additionally, consider creating rule-based definitions to support Org Studio-based changes so that the intended changes can go through a simplified process when the design is launched.
