Make Auditing Your 1095-C Forms a Breeze

Workday makes it easy to create your 1094/1095-C forms directly within the tenant. The hard part comes when you need to validate your codes and data. If you’ve done this in the past, you know it’s no small feat and can take numerous hours. You want to be sure you comply with requirements which usually means a very manual, time-consuming process.

Guess what? Auditing your 1094/1095-C Codes and configuration just got easier! Kognitiv’s ACA 1094/1095-C Dashboard is a great solution to help alleviate those tedious tasks and manual work that it would typically take to ensure your forms are accurate. It’s a far better idea to perform the necessary audits in advance, than to fix errors as they appear when you submit to the IRS.

A highly-requested report we see is for Sections 14 and 16, specifically to quickly obtain a count of codes by month. You can accomplish this by creating a sub-report using the 1095-C for Calendar Year and Company or Worker Data Source. By adding a row grouping with a  Lookup Range Band calculated field that returns line 14 or 16 data for each month (or all 12 months), then creating a composite report to include this data,  you can combine all of the month categories together and obtain a simple audit of the counts in one place. This type of report also enables you to drill into the details to get even more information, making it completely customizable to your needs. Gone are the Excel files and manual manipulation using filters and pivot tables!

Furthermore, you can perform an audit for IRS name and address character limits, invalid or missing SSNs, as well as for flagged codes that you’d like to confirm the details on before submission. To do this, copy the Workday-delivered View 1095-C Form Recipient Data report, then add additional fields that are helpful to your organization.

Another report that we find quite useful looks at character limits of names and address fields so that you’re able to shorten them as required before submitting. You can obtain this off the 1095-C business object by creating a Text Length calculated field, plus an analytic indicator for it, and use that to flag records if they are longer than the IRS specifications (20 for name or 35 for address).

Finally, we find it to create an audit report that looks for certain codes you wish to flag, such as for code 1G. 1G is never used in individual months in Section 14; per IRS guidelines, 1G can only be used in all 12 months. You can easily accomplish this requirement in your reporting by creating a calculated field on the ACA Report Form Box (Month Based) business object then look for months that have 1G listed. As with the prior example, an analytic indicator can be created for this, ensuring you’re able to flag any applicable records. Section 14 code errors are rare when generated, but these flags will call out if there are any, allowing you to correct them before submission.
